Schedule a callAI voice agent for appointment booking
The call you missed was the booking you lost.
An AI voice agent that answers your phone and actually takes the booking: live availability, written into the system you already run, confirmed by SMS, with reschedules and reminders handled on the same line.
Built on Zennly, our own scheduling engine
Answered on the first ring
Sunday · 9:04 pm
A phone agent that finishes the job, not just the call.
A booking voice agent picks up an inbound call, works out what the caller wants from natural speech, checks live availability against the real constraints, offers slots that genuinely exist, writes the appointment into your system and confirms it in writing.
It then handles the traffic that fills most reception phones: reschedules, cancellations, reminders and “are you open on Saturday”.
-
The problem
In appointment-led businesses most lost revenue is simply the unanswered call: evenings, weekends, lunch, or while reception is with someone. A missed call leaves no trace in any report.
-
The idea
An agent answers on the first ring at any hour and completes the booking, so the 9pm enquiry is on the calendar by 9:01 instead of in a voicemail box nobody returns.
-
The safeguard
It can only offer slots your scheduling engine returns, and it hands over to a person when it is unsure. The talking is the easy part; the availability logic and the write-back are the work.
Hear it. Watch it work.
The agent picks up the moment you reach this section and plays four real calls on its own. Scroll on and it stops. Pick any call below to replay it.

What the agent is doing
Waiting for a call...
Choose a call
Simulated example for illustration. Names, times, wording and log lines are not a recording of a real call.
Everything that fills a reception phone.
Bookings are only the start. Most of the traffic on a reception line is moving, cancelling, confirming and asking.
Take a Booking End to End
The agent establishes what is needed and for whom, checks live availability against staff, room and equipment constraints, offers slots that actually exist, writes the appointment to your system, and confirms by SMS or email.
"I'd like a check-up for Tuesday morning."
"I can offer 10:30 with Anna, or 11:30 with Dev."
The same call, two outcomes.
Sunday, 9:04pm
- 01Caller rings. Four rings, then voicemail.
- 02They do not leave a message. Most people don't.
- 03They ring the next business on the list.
- 04Monday morning: nothing to follow up, because nothing was recorded.
The loss is invisible. A missed call leaves no trace in any report, which is why it rarely shows up as a problem worth fixing.
- 01Answered on the first ring. The agent identifies itself.
- 02The caller describes what they need, in their own words.
- 03Live availability checked against staff, room and buffer rules.
- 04Tuesday 10:30 booked, written to your system, SMS confirmation sent.
- 05Monday morning: the appointment is simply on the calendar.
Same caller, same 9pm, same business. The booking exists because something answered and could see what was genuinely free.
The talking is the easy part.
Steps three and five decide whether a voice agent works, and they are where most of them fail. Both depend on the system behind the voice, not the voice itself.
-
01
Answer
Picks up on the first ring, identifies itself as an assistant, and asks what the caller needs. No menu, no hold music, no “press 1”.
-
02
Understand
Works out the service, the duration it implies, whether a specific person is requested, and whether this is a new or returning caller, handling interruptions and corrections the way real callers talk.
-
03
Check real availabilityWhere most agents fail
The agent asks the scheduling engine what is bookable and can only offer what comes back. Staff, room, equipment and buffer rules are resolved there, never inferred by the model.
-
04
Offer and agree
Offers two or three genuine options rather than reading a list, takes the caller’s choice, and collects only what the booking actually requires.
-
05
Write it backWhere most agents fail
Written to your system as a transactional booking against the same engine that quoted the slot, so two callers racing for the last appointment cannot both get it.
-
06
Confirm and follow up
Confirmation by SMS or email with a link to change it, then a two-way reminder call before the appointment so the caller can move it rather than not turn up.
Availability a plain calendar cannot represent.
Most booking automation assumes a calendar with free and busy time. Real constraints rarely look like that: two practitioners sharing one treatment room, a twenty-minute turnaround between slots, a double appointment that needs a senior clinician, a weekend slot that needs a deposit first. A tool that only sees free/busy will cheerfully offer a slot that cannot be honoured.
We run booking agents on Zennly, our own scheduling engine, built for exactly this multi-provider, multi-resource case with automatic conflict resolution. The voice agent is the phone front end; Zennly is the part that knows what is genuinely bookable. If your existing calendar already expresses your rules, we will say so and connect straight to it.

Voice agent, IVR, or answering service?
All three answer the phone. They differ in what happens next, and a voice agent is not always the right one.
IVR menu
A menu that routes calls.
- Caller experience
- Navigates a menu
- Completes the booking
- Rarely: routes or takes a message
- Knows real availability
- No
- Out of hours
- Message only
- Twenty calls at once
- Yes
- Judgement on an odd case
- None
- Best when
- You only need routing
Answering service
A person who takes the call.
- Caller experience
- Speaks to a person
- Completes the booking
- Sometimes: often a message
- Knows real availability
- Only if given access
- Out of hours
- Costs more overnight
- Twenty calls at once
- No
- Judgement on an odd case
- Good
- Best when
- Calls are few, complex, high value
Voice agent
Answers, books and follows up.
- Caller experience
- Speaks naturally
- Completes the booking
- Yes, written to your system
- Knows real availability
- Yes, from the scheduling engine
- Out of hours
- Same as any other hour
- Twenty calls at once
- Yes
- Judgement on an odd case
- Escalates to a person
- Best when
- Calls are many, repetitive, bookable
If your phone rings a handful of times a day with complex, high-value enquiries, a good receptionist beats any agent and we will tell you so. The case for a voice agent is volume and repetition.
- Clinics and dental practices shared rooms
- Salons and studios back-to-back
- Trades and home services on site
- Education and admissions seasonal spikes
- Workshops and service centres limited bays
- Lettings and viewings warm enquiries

- 01
20 to 30 real call recordings. They show your vocabulary and what callers actually ask.
- 02
Your booking rules, written down. Durations, who does what, shared rooms, buffers, deposits.
- 03
API access to your booking system. If there is none, we say what the options cost in reliability.
- 04
A number and an escalation path. Who picks up when the agent hands over.
- 05
Your current numbers. Missed-call and no-show rates, so we can honestly say whether it worked.
Questions about voice agents
Can it book into the calendar and system we already use?
That is the requirement that separates a demo from something useful, so it is where we start. The agent reads live availability from your system and writes the appointment back into it — no second diary for someone to reconcile. Where your booking rules are more complex than your calendar can express, Zennly sits between the two and resolves them.
What stops it double-booking or offering a slot that does not exist?
Availability is never the model's judgement. The agent asks the scheduling engine what is bookable and can only offer what comes back, and the write is a transactional booking against the same engine — so two callers racing for the last slot cannot both get it. If the engine cannot confirm, the agent says so and offers alternatives rather than guessing.
Will it reduce no-shows?
Two-way reminder calls are the mechanism — the caller can move the appointment during the call instead of silently not turning up, and a released slot can be offered to a waitlist. We would rather measure it on your own numbers than quote someone else's: we baseline your current no-show rate first, so the before-and-after is yours.
What happens when the agent cannot handle a call?
It hands over, and the escalation rules are yours — by topic, by detected frustration, by caller, or on request. The person taking over gets the transcript and the detected intent, so the caller does not start again. A booking agent that cannot escalate cleanly is worse than no agent at all.
Does it handle deposits or payment at the point of booking?
Where you already take payment through a provider we can integrate, yes — typically as a payment link sent by SMS during or straight after the call, which is both easier for the caller and safer than reading card details to an automated line. We would not recommend taking card numbers over a voice agent.
What languages and accents does it handle?
English and Nepali are what we deploy most. What actually decides quality is not the language but your vocabulary and your callers' accents — treatment names, product codes, place names. So we test against recordings of your real calls before committing to a language, and tune on the terms that matter to you.
Will callers know they are talking to an AI?
The agent says so at the start of the call, and we would push back on hiding it. In practice callers mind far less than people expect, because what they are comparing it against is a menu tree or a voicemail box. What they object to is not getting the appointment they rang for — which is the part worth engineering.
How long does it take to get live?
It depends almost entirely on the booking system and the complexity of your availability rules, not on the voice part. We scope it by looking at your real calls and your actual constraints, and we will tell you up front if your rules are simple enough that a booking link would serve you better than a voice agent.
